This position is a part of the Justice, Equity, Diversity, and Inclusion Team, which works to ensure holistic treatment of justice, equity, diversity, and inclusion (JEDI) initiatives across the organization and supports the Association through programs, activities, and leadership development.

 

 

About the Position

The Program Coordinator and Executive Assistant to the Vice President provides administrative and programmatic support for the JEDI Team’s work with staff, members, and external audiences. The successful candidate will be a detailed-oriented team player who thrives on building and maintaining systems and processes and finding efficiencies in workflow. In collaboration with the Vice President, JEDI, and colleagues on the Operations and Learning and Event Engagement teams, the individual in this role will coordinate the functions of the team, including managing and tracking projects, scheduling meetings, monitoring program finances, and organizing team communications and outreach. They will also provide critical support for the Vice President, JEDI on projects related to professional development, member engagement, and advocacy, including managing the schedule, calendar, and travel for the Vice President, JEDI. Finally, the individual in this role will be part of the larger organization customer service team.

 

Essential Responsibilities

 

Executive Support

  • Manage and maintain schedule for the Vice President for JEDI, monitoring, updating, prioritizing, and confirming appointments, utilizing good judgment and strong decision-making skills.
  • Coordinate travel arrangements for the Vice President for JEDI, as needed.
  • Complete corporate credit card/reimbursements reports and timesheets for the Vice President for JEDI.

 

Administrative and Fiscal Management

  • Support the operations of the JEDI team in a remote environment.
  • Schedule internal JEDI team meetings, create agendas, and track minutes and recordings.
  • Schedule external meetings with partners and planning committees.
  • Create, disseminate, and manage payments of invoices for purchase of materials.
  • Engage in key projects in the areas of professional development, member engagement, and advocacy as needed.

 

Program Management and Program Support

  • Manage projects and deadlines in Asana project management platform.
  • Provide administrative support for NUFP selection and campus summer internships program.
  • Work collaboratively with JEDI Team colleagues and Program Development Managers to support JEDI team events.

 

Customer Service

  • Serve as member of the larger organization customer service team as part of the main NASPA inboxes and phone lines rotation, responding to general inquiries, fulfilling select member requests, and forwarding as necessary.
  • Collaborate with colleagues across the organization to maintain a consistent, documented approach to our customer service needs.

 

Other Duties

  • Assist with all-team projects and participate actively in staff meetings and projects.
  • Manage updates to Graduate Preparation Program Directory.
  • Provide general customer service to NASPA members via telephone calls, e-mails, and other forms of communication.
  • Manage and edit website content.
  • Other activities, duties, and responsibilities as assigned to support the association.

 

 

Reports To

Vice President, Justice, Equity, Diversity, and Inclusion

 

Qualifications

  • Bachelor’s Degree preferred.
  • 3-5 years experience supporting organization operations and/or executive-level leadership, with experience as an executive assistant preferred.
  • Excellent organizational skills and attention to detail, with the ability to establish priorities, manage multiple projects, and meet deadlines.
  • Passion for developing and maintaining systems and processes that increase overall organizational efficiency.
  • Demonstrated experience with using technology to increase organization and productivity, including a strong ability to learn how to use new platforms.
  • Excellent written and verbal communications skills.
  • Exceptional interpersonal skills with the ability to build relationships inside and outside the organization with members, volunteers, and colleagues.
  • Ability to take initiative, use sound judgment, and resolve problems diplomatically and discreetly.
  • Ability to work effectively, independently, and cooperatively with all levels of staff and constituents.
  • Demonstrated commitment to cultivating an inclusive work environment that values the perspectives and lived experiences of a diverse workforce and membership.

 

Employment Status:

Full-time Non-Exempt: Nonexempt employees are those employees who are covered by the federal Fair Labor Standards Act, and are eligible to be paid overtime work in accordance with the provisions of applicable wage and hour laws.

 

Salary Range

The salary range for this position is $50,000-55,000.

Office Location/Working Conditions/Physical Requirements

 

Office Location

This position may be based anywhere in the contiguous 48 states.

It is the employee’s responsibility to provide reliable internet capabilities for any work location outside of the Washington, D.C. office.

Please note, the NASPA Washington, D.C. Office is in mostly-open status at this time. The status of the office is subject to change at any time.

 

Travel

Occasional overnight travel to represent NASPA at events, on college and university campuses, and in-person meetings is an essential function of this position. Locations vary and can include sites outside of taxi service from major airports. As a result, the position is required to have the ability to travel independently, including air travel, navigating ground transportation, and occasionally driving a rental car.

 

Physical Requirements

  • This position is primarily office-based with primary work on a computer, including phone, email, and video conferencing.
  • Responsibilities occasionally may require an adjusted work schedule, overtime, and evening/weekend hours in order to meet deadlines and support events and programs.
  • This position will occasionally be required to coordinate on-site event execution, which may include moving furniture and other items, navigating event spaces, and communicating verbally with venue staff.

 

Additional COVID-19 Information

Vaccination is not a requirement for employment. However, all employees are strongly encouraged to follow the CDC guidance on vaccination, including becoming fully-vaccinated and staying up-to-date as eligible. All employees may flex their schedules for time taken to receive and recover from COVID-19 vaccinations.

 

In certain circumstances, NASPA may require testing for all staff regardless of vaccination status.

 

Masks must be worn per local, state, tribal, and federal guidance, including the CDC, with the most stringent level of guidance followed. Regardless of guidance, all employees must have masks available should masking be requested by other employees, members, or external constituents. In certain settings, NASPA may require or strongly recommend that employees wear masks.
