NASPA Housing Bureau policies

The Housing Bureau is Closed.  If you need to make a new reservation or make changes or cancel an existing reservation, please contact the hotel directly.

• Guarantee - Credit cards are required to guarantee your hotel reservation.  Reservations will not be confirmed without a credit card.
• Reservations - Do not contact any of the hotels to make your reservations as they will not be able to process your request.  All reservations at the conference rate should be made via the NASPA Housing Bureau.  If you choose to book your hotel room outside of the NASPA block at a higher rate, we cannot guarantee that we will be able to assist you with getting the rate changed to the conference rate.
  
• Conference Registration - In order to book a hotel room, you must be registered for the 2012 NASPA Annual Conference first.  The housing link and contact information will be provided in the confirmation email that you will receive immediately upon completion of your conference registration.
  
• Adding Additional Rooms - If you need to book an additional hotel room after you have already made one reservation, you will need to log-in as a returning user on the housing bureau site, using your email address and the confirmation number of your original reservation.
• Phone Calls - The Housing Bureau will accept phone calls during the hours of 9:00 am and 5:00 pm EST.
• Confirmation - Reservation confirmations will be sent immediately via email upon completion of your hotel reservation. Please keep this information for your files as you may need this in the future to make modifications or cancellations.  Note: The confirmation ID number that you receive from the housing bureau is NOT the hotel confirmation number but it assures that your reservation is has been received and the hotel will honor that reservation. DO NOT contact the hotel directly until February 21, 2012, as they will not have a record of your reservation until that time.
• Wait List - If you request a night that is not currently available, you will have the opportunity to choose to be wait listed for the particular night(s) in question.  If your reservation includes any wait listed night(s), you will NOT receive a confirmation email until the wait listed night(s) have been cleared.  However, you can view and print the confirmation email when you are booking your reservation so that you have a record of the reservation you made.
  
• Check Payments for Hotel Reservations - A credit card is required to reserve the room, even if you intend to pay by check.  If you wish to pay by check, you must send it directly to the hotel after February 21, 2012 and prior to March 6, 2012.  A copy of the hotel confirmation from the Housing Bureau must accompany the check.  
  
• Cancellation Policy - Cancellations must be submitted in writing via e-mail to NASPA Housing Bureau or fax to 301-694-5124, by February 15, 2012.  After February 15, 2012, cancellations must be made by contacting the hotel directly beginning February 21, 2012 in order to allow the hotel time to process your reservation in their internal systems.  Cancelling less than 72 hours prior to the arrival or not arriving on your scheduled arrival date will result in the forfeiture of your deposit and cancellation of your entire reservation.  Some hotels will be assessing an "Early Departure Fee" equal to (1) one night's room & tax, to guests who check out prior to their scheduled departure date.  To avoid these charges please reconfirm your dates with the hotel directly, 72 hours prior to arrival and upon check-in.
• Modifications - All reservation modifications can be made via the housing bureau website, email, or by faxing to 301-694-5124 until February 15, 2012.  Beginning February 21, 2012 you will make all modifications directly with the hotel.
