Volunteers are at the core of NASPA!
Help make the 2012 NASPA Annual Conference a huge success in Phoenix, Arizona, by serving your association as a volunteer! Hundreds of volunteers are needed for specific tasks, as well as miscellaneous duties throughout the conference.
Please read the various volunteer descriptions below and specify your preference online when you sign up. You will also have the ability to upload your volunteer schedule to your overall conference schedule once you receive confirmation of your volunteer opportunity.
Note: We will have two volunteer training Webinars prior to the conference in February, 2012. Specific dates/times TBD.
On-site volunteer trainings will be held on Saturday and Sunday of the conference. Please make every effort to attend one of these:
Saturday, March 10, 4:15 - 5:15 p.m. - Location TBD
Sunday, March 11, 11:00 a.m. - 12:00 p.m. - Location TBD
**All volunteers will need to check in at Volunteer Headquarters located in the Convention Center. Plan to arrive approximately 30 minutes prior to your actual volunteer time for updates. This also allows you time for early arrival at your exact shift location.**
VOLUNTEER OPPORTUNITIES:
Conference Registration
Volunteers will serve in the conference registration area with check-in, materials distribution, and general registration needs. You will need to arrive 15 minutes prior to the start of your shift.
Disability Assistance
Mobility Assistance Volunteers are needed every day during the conference, and will be assigned according to participant needs. Mobility assistants will escort participants to various conference functions & events. Other duties may include:
- Guiding conference attendees to wheelchair ramps, elevators, and other accessible facilities.
- Attending to the physical safety of attendees in case of emergency.
- Connecting attendees with sign language interpreters if necessary.
- Gathering handouts and other materials if necessary.
- Reporting any problems with accessibility to local arrangement committee members immediately.
Exhibit Hall
The Exhibit Hall is in need of volunteers to help with the following:
- Check in Exhibitors at the exhibitor registration counter.
- Assist exhibitors during exhibit hours with any questions.
- Prepare exhibitor packets for registration.
- Inform exhibitors about rules and regulations, and report any violations of these policies.
First-time Attendee Lounge
First-time Attendee Lounge volunteers will staff this lounge to greet visitors and answer questions related to the conference such as how to navigate the program book, selecting educational sessions, and any questions related to attending socials and receptions. A great way to welcome professionals and students who are new to NASPA. Volunteers should check-in at volunteer headquarters and arrive 10 minutes prior to the start of their shift.
Hotel Guides/Greeters (Saturday/Sunday ONLY)
Greeters/Guides will be strategically stationed in the hotels to help direct conference attendees to registration. Volunteers should check-in at volunteer headquarters and arrive 10 minutes prior to the start of their shift.
Hospitality
Knowledge of the local area and activities is a must! Help participants find out about area restaurants, the downtown area and transportation. Assist attendees with general questions regarding the conference schedule, program booklet, hotel locations, and other miscellaneous assistance as needed.
Opening Reception
Volunteers will be strategically posted to help guide participants from the Opening Session to the Opening Reception.
Pre-conference Volunteers
Volunteers in this category will be assigned to one room during a pre-conference workshop time block. Pre-conference volunteer duties are as follows:
- Arrive before the start of each session and stay for ½ hour.
- Check in on each room during the time block assigned at the beginning of the session.
- Assist the pre-conference workshop committee member by standing at the door with a pre-registration list and check in participants. The committee member will introduce the speaker and the volunteer will remain at the door to check in additional participants.
Educationnal Session Volunteers
Volunteers in this category will be assigned to 4 - 5 rooms during a program session time block. Program session volunteer duties are as follows:
- Arrive 30 minutes before the start of each session and stay for 45 minutes.
- Check on each room during the time block assigned at the beginning of the session and complete a short checklist.
- Volunteers do not need to introduce the presenters, but are required to check that the presenter is there and check-in with them to make sure they have all that they need.
Special Projects
NASPA will need other volunteers to perform special projects throughout the conference. Specific duties are yet to be determined. If interested in volunteering in this category, please indicate online.
Volunteer Headquarters
Volunteers are needed to staff the Volunteer Headquarters tables located in the Convention Center. Duties include:
- Check-in volunteers and give them instructions for their locations.
- Reassign volunteers if need be.
- Troubleshoot and assist with all volunteer needs (ex. may need to assist with finding locations).
