When is the Profile administered? The Profile is administered January through mid-March each year. Each participating institution selects their start date, reminder dates and end date.
Do I have to seek institutional approval to participate?
Yes. A copy of your institutional approval must be submitted prior to the start of data collection. If your institution does not have an established human subjects (i.e., IRB) review process, a letter from a senior level administrator may be submitted.
How are students contacted to participate in the survey?
StudentVoice requests participation from students via an email invitation. Within this invitation is a customized link for the student to click on in order to begin the survey. The content of the invitation, as well as the subject line, can be determined by the institution. If names are provided, each student can receive a personalized email invitation.
How do students provide consent to complete the Profile?
It will state in the e-mail invitation that a student is consenting to participation by clicking on the link to begin the survey. If your institution has specific information which must be included, you may include this in the text of your email invitation or as the first page of the survey.
Will students who do not complete the survey be sent a reminder?
Yes. Because each student receives a customized link, StudentVoice is able to determine which students have completed the survey and which have not. Only students who have not completed the survey will be sent a reminder and students will not receive more than two reminders. The content of the reminder email and subject line can be the same as the initial email invitation or can be changed at the institution’s request.
Is the survey accessible to visually impaired students?
Yes. The Profile is accessible for visually impaired students (W3C WAI ‘AA’ and 508 compliant). StudentVoice has tested its surveys extensively on a variety of screen readers.
Is the Profile anonymous or confidential?
The Profile of the American College Student survey is confidential. Email addresses are never attached to survey responses. Once the survey has been completed, and incentive winners selected if needed, the file with the email addresses is destroyed.
Is data stored on the StudentVoice server secure?
The StudentVoice servers contain multiple security measures on all levels (i.e. physical, network, and software). Key card restricted access to the data center, redundant firewalls, and prompt downloads of operating system patches represent a few of the security measures taken to protect institutional data. StudentVoice takes additional measures to ensure data stored on the server is not lost due to fire, water damage, power outages, or system failures. Data is backed up internally every hour, and to an offsite centralized backup system every evening.
Should we offer an incentive to students to participate?
Yes. Information about your incentive(s) should be included in your email invitation. StudentVoice will randomly select incentive winners for your institution.

Who do I include in my sample?
The Profile is designed for undergraduate students. Students from all class standings, part-time, full-time, commuters, residents, and distance education students, etc. should be included in your sample. Students under the age of 18 are not allowed to participate.
How do I provide my sample?
The preferred format for providing your sample of email addresses is as a Microsoft Excel file or text file. The file may be uploaded to StudentVoice via an online portal. We ask that you provide the following information about the students in your sample, in the following order – first name, email address, gender, race, and class standing. Should you want to use your data with other institutional data, be sure to include a unique identifier for each student that would allow you to match the raw data from the Profile with your institutional datasets.
Will my institution get a copy of its institutional data?
Yes. You will be able to download your institution’s data from the StudentVoice portal.
Will my institution get a report of results?
Through the StudentVoice portal you will be able to see your results in real time. You will able to view frequencies, see frequencies in the form of a graph, run cross tabulations, and read open-ended responses. You are also able to download the results, or selected results, into a Word or PDF document.
